Overview

CTIS is currently seeking a Personal Assistant to support our CEO in VA & MD offices. The candidate will provide administrative and clerical support in the office to maintain an efficient office environment. 

This individual will be responsible for assisting with a variety of tasks associated with the CEO Office and Corporate office. This position requires flexibility and availability during the day plus weekend hours occasionally.

Responsibilities

  • Driving the CEO daily between the Virginia and Maryland offices, client meetings and personal appointments.
  • Maintain the CEO’s vehicle by keeping it clean, scheduling all maintenance and inspections, and ensuring it always has adequate fuel.
  • Take and distribute accurate messages. 
  • Receive and deliver packages.
  • Provide general administrative support, including tasks such as faxing, scanning, copying, mailing and filing documents. 
  • Update and maintain databases such as mailing lists, contact lists and client information 
  • Type documents, reports and correspondence as required.
  • Organize travel arrangements for staff.
  • Coordinate events such as private dinners, family vacations, and small business gatherings.
  • Assist with event planning and implementation.
  • Manage and maintain CEO office supply inventory by monitoring stock levels, identifying upcoming needs, and placing orders as necessary.
  • Ensure office equipment is properly maintained and serviced.
  • Connecting conference calls and taking notes during calls. 
  • Providing personal support such as ordering gifts/flowers.
  • Perform miscellaneous errands. 
  • Keep office area clean and tidy.
  • File and retrieve documents and reference materials when requested.
  • Handle a wide range of personal errands including shopping, appointments, gift sourcing, and coordinating household errands. 
  • Maintain professional and technical knowledge by attending educational workshops on a continuous learning basis.

Qualifications

  • Associate degree
  • Minimum 2 years' personal assistant experience needed
  • Clean driving record
  • Must be extremely flexible with availability
  • Business college training an advantage
  • Competent computer skills including MS Office or equivalent
  • Internet skills including use of e-mails, group messaging and data collection

Annual Salary range for this role is - $50,000 - $55,000 annual
